Centennial Project Fund Raising Committee Meeting (Museum, Art Gallery, Performing Arts Centre)

Present: Dean Bradford, Linda Rooke, Tom Rooke, Peter Butler, Allan Bloomfield, Cliff Wright, Elaine Freedman, Will Greenwood, Orv Kope, Dana Shukster, Lesley Clement, Rita Kolody, Ron Webb, Carol Beatty, Cheryl Finnie, Brenda Kobley

OVERVIEW

Presentation by Brenda Kobley See Income Tax Consequences of Donations.
Deductions can be applied over the next five years
Gifts in kind - cannot use if already claimed as an expense
Tax receipts can be issued through the City at various locations. An administrative procedure will be written and distributed to all Committee Chairs.

Dana to assist with development of graphics/logo
Tax information and pledge forms to be included in package

Pledge Forms A pledge form has been drafted by Ron Webb. This form to be included in the presentation package and graphically match the other presentation material.

Donor Recognition: Discussion on determining sponsorship levels/selling of rooms, etc.
* Peter/Will/Dean/Carol to meet to discuss options/determine sponsorship levels (some information in Feasibility Studies on room details)

Electronic Communication: Rita Kolody has developed a communication site for the project. The site is free, and is for committee member use only. It is not a registered confidential site, but no search engines will be applied to it, and access to the address should be limited to committee members only to ensure maximum privacy. The address is:

Three components to the site:

Contact info for committee members
Minutes of committee meetings
Post messages on the forum page (a message board for posting comments, announcements, questions, responses, or copies of memos, letters, etc. - can be read by each member of the committee).

**Committee members are encouraged to use this site as a means of communicating rather than direct e-mail, to ensure broad-based information-sharing (unless information is extremely confidential).
It was also suggested that a section of the City of Medicine Hat Web Page be dedicated to information on the functional study/fundraising committee for public access/input.

Fund Raising Presentation Carol Beatty shared information she received from a fund-raising workshop in Calgary (see Fund Raising Notes)
Carol will make arrangements for a consultant from Calgary (Peter Carter) to give a 3 hour presentation on fund-raising strategies, Monday, June 19 at 3:30 pm. It will be held at the Cultural Centre (Craft/Photo Studio). Dinner will be brought in for the presentation.

Budget: Ron/Carol/Dean to meet to establish budget for the Committee.

Government - provincial, federal, municipal (including counties, Redcliff, other) *Cal Niebergall, Cliff Wright $1 - 2 million Lorne Taylor suggesting that we submit application for Centennial funds to him to ensure it is looked at. Cal has met with Rob Renner who is chairing the Centennial Committee.

Businesses - Manufacturing and Industrial/Chamber of Commerce *Will Greenwood, Jan Dynes $1 million Need to coordinate with Dana/Don Fischer from the Chamber of Commerce and with Elaine Freedman on individual donors to avoid duplication.

Non Profit Groups - service clubs, associations, societies (including cultural groups) *Tom/Linda Rooke, Orv Kope, Cultural Alliance $500,000 30 - 40 contacts in Redcliff and Medicine Hat

Individual Donors *Elaine Freedman, Peter Butler, Mick Nodwell $1 million 100 contacts - will be meeting with her committee to assign names for each to contact. Has started with initial phone calls to advise of the project.

Granting Organizations *Dean Bradford, Derek Martin $ Telus Communications has $25,000 grants available. Kahanoff Foundation in Calgary supporting performing arts.
